Notion Consulting. One Connected System Instead of Twelve Spreadsheets.
By the time most businesses call me, they are running on twelve spreadsheets, three tools, and a lot of copy-paste. I'm Abhiman Sundararajan, a Notion Certified Admin and systems builder, and I replace that with one connected system. Multi-database Notion workspaces with real-time automations, formula-driven logic, and n8n-powered integrations, built around your actual processes rather than a template you bend to fit. It is how we have returned more than 500 hours to clients across the US, EU, and Australia.

Certifications
The Notion Certified Admin credential verifies expertise in workspace design, database architecture, and team systems. Combined with n8n certification, it means every Notion system we build can also be connected to your other tools through production-grade automation, not left as an island.
What gets built
Each item below names the Notion primitive or integration layer doing the work. These are not abstractions. They are what gets built.
- Relational database architecture using Notion database relations. Client, project, invoice, and contract databases linked so a record in one surfaces in all the others automatically, no re-keying.
- Rollup and formula layers that calculate project totals, outstanding balances, contractor payout amounts, and status logic across linked databases. Your dashboards stay accurate without anyone updating them manually.
- Notion button automations that trigger n8n workflows on click. One button in Notion initiates a Stripe contractor payout, creates an e-signature contract via Documenso, and logs everything back to the right database.
- Synced databases that share a live view of records between workspaces. A project database in one team space mirrors into another so both teams see the same state without duplicating data.
- n8n pipelines via the Notion API that write structured records into Notion from external tools: CRM contacts, Stripe payments, form submissions, and Slack threads, landing in the right database with the right properties set.
- Notion SDK agents and Workers that run recurring tasks on their own. Pull a report, update statuses, or send a summary to Slack on a schedule, without you touching anything.
- MCP integrations connecting Notion to AI systems so the workspace becomes a live knowledge base that other tools can query and write to.
- Filtered views and dashboards that surface the right data to the right person. A client-facing view showing only their records, a manager view showing everything across the team, built as linked database views with the right filters locked in.
By the numbers
Template versus system. The real difference.
Most people set up Notion from a generic template, then spend months bending their business to fit it. A system works the other way around. The databases relate to each other using Notion's relation property because your work does. The formulas use rollup totals and conditional logic because that is what your team actually tracks. The automations fire from Notion button triggers or property-based rules because those are the real events in your workflow.
A template gives you a structure to fill in. A system does things on its own. The relations pull, the rollups calculate, and when needed, a button in Notion fires an n8n workflow that talks to tools outside Notion. You do not need to know how any of it works. You just use it.
Database design is also where most automation failures start. The four design choices that quietly break automations are documented in the Notion database mistakes guide.

- 01
Book a call
A free 30-minute call where you walk me through how your team works today and where the manual tracking lives. I listen, ask questions, and start mapping what a system would replace.
- 02
Scope and quote
I write up the exact databases, formulas, views, and automations we will build, with a fixed price and timeline. You approve it before anything starts.
- 03
Build
We build the system around your real processes and test it against your real data. You get progress updates as it comes together, not silence until the end. If the system needs deep n8n build capacity alongside Notion, I bring in dedicated workflow development from the n8n developer side of the practice.

Handoff and retainer
A live walkthrough call, a video recording, and full documentation so your team owns the system. From there you can keep us on a retainer from $500/month for changes and support, or take it from here yourself.
What it costs
Fixed price, agreed before any build. Where you land depends on how many databases, formulas, and integrations the system needs.

Why a certified system builder
There are cheaper ways to set up Notion. Here is what you actually get with each, and where they tend to break.
Versus a free template
A template is a generic shell. It does not know your processes, it does not connect to your tools, and the day your workflow changes, you are on your own to rebuild it. A system is shaped to how you actually work and grows with you.
Versus a cheap Fiverr build
A $200 gig gets you a pretty workspace that looks right in screenshots and falls apart under real use. No formula logic that holds, no automations, no documentation. You pay twice: once for the gig, again to fix it.
Versus doing it yourself
You can absolutely learn Notion. The question is whether the weeks of trial and error are worth more than running your business. I have already made the mistakes, so your system is built right the first time.
Versus a generic VA
A virtual assistant can move data around. They cannot design a database architecture, write the formulas, or connect Notion to your CRM through production-grade automation. That is an engineering job, and it is what we do.
Common questions.
What does a Notion consultant actually do?
A Notion consultant designs the workspace your business runs on, then wires it to the tools you already use. That means multi-database architecture, relations and rollups, formulas, filtered views, and dashboards that match how your team really works. We also connect Notion to your CRM, payments, and forms through n8n, so the workspace stays current on its own instead of through manual copy-paste. The result is one system, not twelve spreadsheets held together by hope.
Is Abhiman Sundararajan a certified Notion consultant?
Yes. I am a Notion Certified Admin, a Verified n8n Creator, and n8n Level 2 Certified. The Notion credential covers workspace design, database architecture, and team systems. The n8n credentials mean your Notion workspace can be connected to any external tool through production-grade automation, not left as an island. We have built systems for 12+ clients across the US, EU, and Australia and returned more than 500 hours of manual work.
How is a Notion system different from a template I can buy?
A template is someone else's structure that you bend your business to fit. A system is built the other way around. The databases relate to each other because your work does. The formulas calculate what you actually track. The automations fire on real events in your workflow. Relations pull data across databases so a client record in one place automatically updates the project, invoice, and contract databases linked to it. You do not adapt to it and you do not need to understand the wiring to use it. A template is a starting point. A system is the finished thing your team operates inside every day.
How much does Notion consulting cost?
Growth builds run $1,000 to $5,000, from a focused workspace up to a multi-database system with live integrations. Professional systems with deep automations and multiple tool connections run $5,000 to $15,000. Full operating systems for an entire business run $15,000 to $50,000+. Ongoing support runs $500 to $2,000/month for maintenance, $2,000 to $5,000/month with new automations and training, and $5,000+/month for priority partner access. Fixed price confirmed on the free call before anything starts. No surprises.
How long does a Notion project take?
Most projects land between 2 and 10 weeks depending on scope. A single-purpose workspace can be ready in 2 to 4 weeks. A full multi-database system with integrated automations usually takes 6 to 10 weeks, including testing against your real data. I confirm the timeline on the scoping call, and you get progress updates throughout instead of silence until handoff.
Can Notion automate workflows?
Yes. Notion has native button automations and property-based triggers, and combined with n8n it goes much further. A Notion button can fire an n8n workflow that creates a Stripe invoice, sends a Slack message, updates your CRM, and logs the result back to Notion automatically. The automation runs in the background. Your team just clicks the button and moves on. That is exactly how Notionology's 10-hour monthly billing process became one button.
Do I need to understand how it works to use it?
No. The whole point of a system is that the complexity lives underneath. You see clean dashboards and the views you need. The relations, rollups, and automations run quietly in the background. You also get full documentation and a recorded walkthrough, so you are never dependent on me to use your own workspace.
What happens on the free 30-minute call?
You show me how your team works today and where the spreadsheets and manual tracking are slowing you down. I show you what a connected Notion system would look like for your business and give you an honest, fixed price to build it. No pitch and no obligation. Plenty of people leave the call with a clear plan and build it themselves later. That is fine too.
Stop managing spreadsheets.
